Overview

We are seeking to fill the role of Document Management Specialist I. The ideal candidate enjoys collaborating with clients, industry partners and internal teams to maximize outcomes for homeowners.

Responsibilities

• Complete research and processes necessary to close tasks for default, foreclosure, and loss  mitigation loans
• Order and track original documents to/from clients, custodians, and attorneys
• Prep and scan custodial documents as required
• Sort and send documents to custodians
• Maintain, sort, and provide POAs to requesting lines of business
• Process daily file requests for loan servicing as needed
• Request documents from clients and custodians
• Review and retain incoming mail
• Create original document loan information transmittals for document custodians
• Process orders and coordinate shipment of files to/from clients, custodians, and attorneys
• Prep and scan files or miscellaneous documents related to loan servicing
• Upload scanned images to image repository as required
• Run reports to confirm required documents are present in image repository
• Review all opened question/complaint tasks and tickets daily
• Review each loan to ensure analysis accuracy and update loan with changes and/or corrections
• Follow and update regulatory and compliance guidelines related to storing original collateral documents
• Maintain in-depth knowledge of various document types, retention schedules, and client custodians
• Contact attorneys and document custodians to confirm document possession
• All other duties as assigned.

Qualifications

• High School Diploma or equivalent required.
• Knowledge of Microsoft Outlook, Excel, and Word
• Detail-oriented with the ability to work with databases and information
• Organizational skills with the ability to complete assignments within daily, weekly, and monthly deadlines
• Ability to work independently under minimal direction
• Ability to collaborate with peers, company managers, and customers in a team environment to attain common goals

• Ability to communicate effectively in writing, in person, and by telephone
• Demonstrated ability to provide excellent customer service

 

Desired Skills and Qualifications
• 2+ years mortgage servicing or mortgage banking experience (data/document management experience preferred)
• Knowledge of mortgage-related origination documents preferred
• Knowledge of Ginnie Mae, Fannie Mae, and Freddie Mac document retention guidelines preferred

Work Conditions 

Able to attend work and be productive during normal business hours and to work early, late or weekend hours as needed for successful job performance. Overtime required as necessary.

 

 

Physical Demands

  • Sitting up to 90% of the time
  • Walking and standing up to 10% of the time
  • Occasional lifting, stooping, kneeling, crouching, and reaching
